Converting an Estimate to an Invoice
Once a customer approves your estimate, you can convert it directly into an invoice — no re-entering of data required.
How to Convert
- Go to Sales → Estimates
- Open the estimate you want to convert
- Click the Convert to Invoice button
- Review the pre-filled invoice details
- Adjust anything if needed (date, due date, line items)
- Click Save to create the invoice
What Gets Carried Over
When you convert an estimate, the following are copied to the new invoice:
- Customer
- All line items (description, qty, unit, rate, discount, tax, account)
- Currency and exchange rate
- Notes and terms
- Reference number
What You May Need to Update
- Invoice date — The estimate date is carried over but you may want today's date
- Due date — Recalculated from your default due days
- Invoice number — Auto-assigned the next available number
After Conversion
- The estimate status changes to Converted
- The estimate is linked to the new invoice (visible on the estimate page)
- The invoice is created as a Draft — approve it when ready
Frequently Asked Questions
Does converting an estimate delete it?
No. The estimate is kept with a "Converted" status. You can always refer back to it.
Can I convert one estimate into multiple invoices?
No. Each estimate can only be converted once. If you need to split the work into multiple invoices, convert the estimate and then duplicate the invoice.
Can I edit the invoice after converting?
Yes. Until the invoice is approved, it remains fully editable.
Can I unconvert an estimate?
No. Once converted, the estimate is marked as converted permanently. If you need to re-quote, create a new estimate.
