General Ledger
The General Ledger is a complete record of every transaction posted to every account in your Chart of Accounts. It is the most detailed financial report — accountants use it to trace any transaction back to its source.
How to View the General Ledger
- Go to Reports
- Select General Ledger
- Choose your date range
- Optionally filter by a specific account
- The report loads automatically
Report Structure
The General Ledger is organised by account. For each account, it shows:
ACCOUNT: Sales
─────────────────────────────────────────────────────────
Date Reference Description Debit Credit Balance
─────────────────────────────────────────────────────────────────────
01 Jan INV-001 Web Design — 5,000 5,000 Cr
15 Jan INV-002 Consulting — 3,000 8,000 Cr
22 Jan CN-001 Credit Note 500 — 7,500 Cr
─────────────────────────────────────────────────────────────────────
Closing Balance 7,500 Cr
Filtering by Account
To focus on a specific account:
- Open the General Ledger
- Use the Account filter to select a single account (e.g. "Main Bank Account" or "Sales")
- The report narrows to show only transactions for that account
This is useful for:
- Bank reconciliation (filter on your bank account)
- Tracing all entries to a specific expense category
- Reviewing VAT/tax account activity
Using the General Ledger for Reconciliation
- Filter the General Ledger to your bank account
- Compare each entry to your bank statement
- Any entry in the system with no matching bank statement line = unreconciled item
- Any bank statement line with no matching entry = missing transaction in Acusheet
Frequently Asked Questions
Can I see who created a transaction?
Transaction-level audit details are available in Settings → Activity Log.
A transaction appears in the wrong account — how do I fix it?
Go back to the source document (invoice, bill, expense, journal) and edit the account. The General Ledger will update automatically.
Can I filter by date and account at the same time?
Yes — both filters can be applied simultaneously.
What's the difference between the General Ledger and the Trial Balance?
The General Ledger shows every individual transaction. The Trial Balance shows only the closing balance for each account (debit or credit) to verify the books balance.
