Managing Contacts
The Contacts page gives you a full view of everyone you do business with and their transaction history.
The Contacts List
Navigate to Contacts in the sidebar to see your full contact list. Each row shows:
- Name — Display name (person or company)
- Contact Person — The individual at the company
- Phone — Contact phone number
- Email — Primary email address
- Type — Customer, Vendor, or both
Searching & Filtering
Use the search bar at the top to find contacts instantly by name, email, or company.
You can also sort the list by clicking any column header.
Viewing a Contact
Click any contact row to open their detail page. Here you'll see:
- Contact information — All fields as entered
- Transaction history — All invoices, bills, payments, and credit notes linked to this contact
- Outstanding balance — How much is owed to you or by you
- Statement — A running ledger of all their transactions
Editing a Contact
- Open the contact
- Click Edit (top right)
- Update any fields
- Click Save
All linked documents are updated automatically — no need to re-assign anything.
Deleting a Contact
- Open the contact
- Click the ⋮ menu (top right)
- Select Delete
- Confirm the deletion
Warning: You cannot delete a contact that has transactions (invoices, bills, payments) linked to them. Archive or reassign those transactions first.
Copying a Contact
If you need to create a contact similar to an existing one:
- Open the contact
- Click the ⋮ menu → Copy
- A duplicate is created which you can then edit
Contact Statement
A contact statement is a summary of all activity between your business and that contact over a period.
- Open the contact
- Click Statement (if available)
- Choose a date range
- Download or print the statement as a PDF
Frequently Asked Questions
Can I merge two duplicate contacts?
Contact merging is not currently supported. You'll need to manually reassign transactions from one contact to the other before deleting the duplicate.
Where can I see a contact's balance?
Open the contact's detail page — it shows their outstanding balance, broken down into receivable and payable, along with full transaction history.
Can I see all invoices for a specific contact?
Yes — open the contact and scroll to the transaction history section. You can filter by document type (invoices, bills, payments, etc.).
