Party Account Statement

The Party Account Statement is a running ledger of all financial activity between your business and a specific contact — showing every invoice, bill, payment, credit note, and journal entry in chronological order, with a running balance.

It's what you'd send to a customer or vendor as a statement of account.


How to View a Party Account Statement

  1. Go to Reports
  2. Select Party Account Statement
  3. Choose a contact from the dropdown
  4. Set your date range
  5. The report loads automatically

What It Shows

Each row represents one transaction involving the contact:

Column Description
Date Date of the transaction
Type Invoice, Bill, Payment, Credit Note, Debit Note, Journal, Voucher
Reference Document number
Debit Amount that increases what the contact owes you
Credit Amount that reduces what the contact owes you
Balance Running net balance after each transaction

Reading the Balance

  • Positive balance — the contact owes you (receivable)
  • Negative balance — you owe the contact (payable)

Transactions Included

The statement pulls from all document types linked to the contact:

  • Invoices and credit notes (sales side)
  • Bills and debit notes (purchase side)
  • Received payments and made payments
  • Payment vouchers and receipt vouchers
  • Journal entries that reference the contact

Common Use Cases

  • Send to a customer — share their statement so they can reconcile against your invoices
  • Dispute resolution — show a vendor the full history of your account with them
  • Period-end review — confirm the balance at the end of a month or quarter matches your Accounts Receivable/Payable reports
  • Audits — provide a full transaction trail for a specific party

Downloading as PDF

  1. Open the report with your chosen contact and date range
  2. Click Download
  3. A PDF statement generates — ready to send to the contact

Frequently Asked Questions

Can I run a statement for all contacts at once?
No — the statement is per contact. For a full receivable overview, use Receivable Summary or Receivable Ageing reports instead.

Does it show partial payments?
Yes — each payment is shown individually, so you can see exactly which invoices were partially paid and by how much.

Why does the opening balance not match what I expect?
The report only includes transactions within your selected date range. Extend the start date further back to capture the full history, or check if the contact has an opening balance set.
